Connecting and Configuring Your Calendar

Setting up your calendar correctly ensures potential recruits can book the right time with you—without overlaps, confusion, or unnecessary back-and-forth. This guide walks you through how to connect your calendar and configure settings across multiple recruiting event types in your Profit Share Sites platform.


Connect Your Calendar #

  1. Log into your dashboard.
  2. From the left-hand menu, click Calendars, then choose Calendar Settings.
  3. At the top, select the Connections tab.
  4. Under your user name, click Add New and select Connect for Google Calendar.
  5. In the pop-up window:
    • Choose the calendar you’d like to integrate.
    • Grant permissions and complete the connection.
  6. You’ll now see your Linked Calendar. This should be your primary calendar—the one where appointments will be synced.
  7. Under Conflict Calendars, you can select additional calendars (like a company holiday calendar) that should block time on your main booking calendar.
    • ⚠️ Tip: Some full-day events may not trigger availability blocks, so verify they sync as expected.

Step 2: Configure Event Calendars #

Go back to Calendars in the main navigation. You’ll see multiple built-in calendar types, including:

  • In-Person Career Night
  • Virtual Career Night

You’ll want to configure each one you plan to use.

  1. Click Edit next to the “In-Person Career Night” or “Virtual Career Night” calendar.
  2. Update the Calendar Name and Meeting Invite Title. Add context like “Career Night” or “Info Session” so it’s not just the contact’s name.
  3. Under Location, you can choose:
    • The full address tied to your business profile.
    • Or a custom address if your event is hosted elsewhere.
    • If you are editing the Virtual one, leave it as a Custom location and add the link for how people can attend. This should be a generic link that applies to ALL virtual career nights or info sessions.

Click Save to move to the next screen.

Set Specific Dates and Times #

Unlike recurring appointments, in-person sessions are scheduled for specific dates:

  1. Click Add Date on the right side of the Availability Editor.
  2. Choose the date and time range (e.g., 5:00 PM – 6:00 PM for a one-hour info session, or 5:00 PM – 6:30 PM for a 90 minute one).
  3. Click Submit to add the date.
  4. Add any other upcoming dates you have. We recommend planning 2-3 months out.
  5. Hit Save in the upper right corner.

📌 We recommend setting a monthly calendar reminder for yourself to come in and add the next month out so you maintain a solid set of Career Night or Info Session dates that recruits can sign up for.


Configure Discovery Call Calendars #

This calendar is used when someone clicks to book a one-on-one appointment.

For Profit Share Sites, this is simply called the Discovery Call calendar.

For Market Center Sites, there are several calendars including Not-In-School, In School, Licensed Agent, etc. IMPORTANT: Each of these will need to be configured by the person assigned to that type of recruit.

  1. Click the Edit icon (a pencil) to the right of the appropriate calendar.
  2. Update the Meeting Title—e.g., “Exam Prep Check-In” or “Market Center Intro.”
  3. For Location:
    • Use a Zoom link (you could use a recurring personal meeting link if you are struggling to integrate Zoom).
    • Select a physical address if you’re doing this in person.
    • Note that you’ll call them on the phone if that’s your preferred method at this stage.

Click Save to continue.

Set Weekly Availability #

Now define your standard available hours:

  1. Block out preferred time slots—e.g., mornings from 9:00–11:00 AM and afternoons from 1:00–4:00 PM.
  2. Hit the + button on that day to create another time slot if necessary.
  3. Use the copy feature to apply times across multiple days.
  4. Remove or adjust time slots as needed.

Configure Booking Preferences #

  • Meeting Duration: Set to match your appointment style (usually 30 minutes).
  • Minimum Scheduling Notice: Set to 12 hours so your day is locked in the night before.
  • Date Range: Limit booking to 14 days out to reduce no-shows.
  • Max Bookings per Day: Set a limit (e.g., 5) to control your schedule.
  • Max Bookings per Slot: Leave as 1 to prevent double-bookings.
  • Buffer Times: Add 5–15 minutes before and after appointments for prep and transitions.

Click Save again to proceed.

Configure Connections #

  • Connections: Confirm which Google Calendar your appointments will push to by selecting it from the dropdown.
  • One-Way: Your connection should be set to One-Way once a calendar is selected. This will push new appointments to the selected calednar. Two-Way would pull all appointments from your Google Calendar into our system, which isn’t necessary.

⚠️ Don’t skip this step. If you forget to hit Save again here, your appointments may not sync correctly and could fail to appear on your calendar.


🎉 That’s it! You’ve now fully connected and configured your recruiting calendars. Be sure to test your links and confirm that availability, times, and conflicts are syncing as expected.
