Updating User Roles within the Market Center Sites System

When an account User with administrative access is added to your Market Center site, it’s important to update all related automations and assignments. This ensures that form submissions, lead routing, and task notifications are still directed to the right person.

This guide walks you through how to reassign workflows and automations to a new user. IMPORTANT: Remember, the next step will be to connect that person’s Google Calendar and complete the calendar configuration for each newly assigned role.


Accessing Automations #

  1. Log into app.profitsharesites.com.
  2. From the dashboard, click Automation from the left-hand menu
  3. From Settings, return to the main navigation, and click Automation from the left-hand menu.

Reassign “Join KW” and Referral Workflows #

  1. Inside the Automation tab, go to the Website folder.
  2. Click into Join Page folder, then open the Join KW workflow.
  3. Scroll down slightly to find the Assign to User actions. This controls who gets assigned when someone fills out the form on your Join KW page, and includes the following recruit types:
    • R0 – Not in School
    • R0 – In School
    • R1 – Licensed Agent
    • R2 – Indie / Brokerage Owner
  4. If a removed user appears (usually as unreadable text), delete them.
  5. Use the dropdown to select the new user.
  6. Click Save Action, then click the blue Save button in the upper right corner.

Repeat this for all related “Join” workflows. We recommend double checking each one to make sure an assignment is listed.


Update the “Agent Referrals” Workflow #

  1. From the top of the list, click the “Back” link on the page to return to the main Website folder.
  2. Open the Agent Referral workflows.
  3. Follow the same process:
    • Look for Assign to User steps
    • Replace removed users with the new user
    • Click Save Action and then Save

Some Market Centers route all referrals to one person. Others may assign by role—adjust accordingly. All four recruit types listed in the previous step can be found here as well.


Update KW Prep and KSCORE Automations (If Applicable) #

If your Market Center uses KW Prep and/or KSCORE, there are additional assignments to manage:

  1. Go back to the main Automation page.
  2. Open the Opportunity folder, then click KSCORE (this applies for both KW Prep and KSCORE assignments).

Update KSCORE Systematizer Assignment #

The Systematizer has two user assignment workflows. The first pertains to signing the recruit up for KW Prep and is the KSCORE-01 workflow. The second pertains to signing the recruit up for KSCORE and is the KSCORE-07 workflow.

Update KSCORE Snuggler Assignment #

The Snuggler also has two user assignment workflows. The first pertains to recruit communication after they’ve been signed up for KW Prep and is the KSCORE-02 workflow. The second pertains to communication with the recruit. after they’ve been signed up for KSCORE and is the KSCORE-09 workflow, which can be found on the second page of KSCORE automations.


Step 4: Check Calendar-Based Assignments #

Some automations are tied to calendar events, such as virtual appointments or demos.

  1. Go back to the main Automation section.
  2. Click Calendar.
  3. Select the Virtual Appointment – Command Demo workflow
  4. Update any Assign to User steps.
  5. Save the action and the overall workflow.

🛠️ If your Market Center uses Command Demos and the button is active on your site, make sure a live person is assigned to respond and has their calendar connected and configured.


✅ Final Reminder #

Reassigning workflows is only Step 1. Next, make sure the new user:

  • Connects their calendar
  • Configures their calendar availability

The user will need to configure all applicable calendars they’ve been assigned to.
