Calendar Settings make it easier to manage availability, automate scheduling, and integrate with tools like Google Calendar, Outlook, Zoom, Stripe, and Google Ads. These settings power both individual and group (round-robin) calendars, so it’s important to configure them with your Users’ availability and primary calendar connections in mind.
IMPORTANT: If you use Outlook rather than Google Calendar, setting up your calendar for the first time is a little different. Please reach out to us at support@profitsharesites.com and let us know you are using Outlook.
To access Calendar settings, log into the platform, select Settings in the lower left, then click Calendars from the left navigation.
To edit settings within an individual calendar from the Calendar Settings page, select the pencil icon to the right of the calendar you wish to edit. This will open the editor. To the left of the main editor within the center of the page, you’ll see the various sections you can edit. The first, Meeting Details, will be highlighted.
Each of the following individual calendars is tied to a specific user role:

Meeting Details #
From the Meeting Details tab, you can edit a variety of general details relating to your calendar. At the very least, consider modifying the following to fit the Calendar’s purpose:
- Calendar Name: This should be a brief title for the calendar. Examples might include “Discovery Call” or “Initial Interviews”
- Calendar Description: This should be brief but descriptive to the calendar’s purpose.
- Meeting Invite Title: This is how booked events will show up on your calendar and the calendar of the person who booked with you. An example might be “Discovery Call: {{contact.name}} & {{user.name}}” where the contact’s name is dynamically pulled into the title as is the user assigned to them. If this is attached to your calendar only, replace {{user.name}} with your name.
When done making edits, make sure to hit the blue Save button in the upper right corner. This will save the edits and m step.
Availability #
Availability relates to how time slots show up on your calendar and any related availability settings. To the right of the calendar editor, you have the ability to set date-specific hours.
Select the days and hours you’ll be available. If you wish to have multiple time slots on any given day, click the plus icon to add an additional time slot. Click the trash can icon to delete a time slot. Click the two overlapping squares to copy that day’s time slots to other days of the week. You can also select and deselect days by clicking the box to the left of the weekday.
Scroll down for additional settings, including the following:
Look Busy: Hide a percentage of your available appointment slots on the booking widget to appear busier and in high demand.
Recurring Meeting: Allow meetings to repeat multiple times over a time period.
Slot Interval: Set the gap between the start times of consecutive available slots. For example, if your meeting duration is 30 minutes and you set the interval to 60 minutes, a user can book at 9:00 AM, then 10:00 AM, and so on, even though each meeting lasts only 30 minutes.
Meeting Duration: This sets the length of your meeting, determining how long it will last.
Minimum Scheduling Notice: Set a time that require users to book meetings at least this much time in advance. For example, 12 hours would allow you to see all booked appointments when the day begins and not have one sneak onto your calendar.
Date Range: Set how far into the future bookings can be made from today’s date. Too soon, and you may run out of available appointment slots. Too far into the future and you risk an increasing number of no-shows. A comfortable medium is 2 weeks.
Maximum Bookings Per Day: Maximum number of meetings permitted per day on this calendar. Once that number is reached, no available slots for that day will appear.
Maximum Bookings Per Slot: This limits how many meetings can be scheduled for the same time slot. Most meetings are one-on-one, so leave this at 1. However, if it’s a group, you can increase it to a different number.
Pre and Post Buffer Times: Set a time to block before and after each meeting, allowing for extra time to prepare for what’s next.
When done making edits, make sure to hit the blue Save button in the upper right corner. This will save the edits and move you to the next step.
HOLIDAYS & VACATIONS: #
When setting up your calendar, you can clear date-specific hours on and around holidays to ensure that no one books during these times. To do this, click the Add Specific Hours button, select the date you wish to edit or modify, clear the available hours by selecting the red trash can, then hit the blue Submit button. The alternative would be to manually add time blocks covering the entire day that you’ll be unavailable.
TRAVEL PADDING: #
Remember to time block for travel to an from out-of-office appointments, otherwise someone may book an appointment with you while you’re running out the door!
Forms & Payment #
This step allows you to modify or change the default form for booking appointments. The default form collects the contact’s first and last name, their email, and their phone number. There is also a text field for notes.
Notifications & Additional Options #
This section will allow you to modify notifications and allow Google Calendar to send invitation and update emails to attendees. Consider turning this on, and setting Appointment Booked to include user and contact emails.
Connections #
This section is very important as it dictates which calendar will be checked for appointment conflicts. Note that not all calendar types have this feature. Additionally, this section also includes your sync option. Setting it to “one way” pushes new appointments to your Google Calendar, whereas “two way” both pushes new appointments to Google while also pulling all existing appointments from your calendar into the platform.
We recommend setting sync to one way.
