In School (Taking Classes) (3.0)

3 min read

🎯 Purpose of This Stage
This stage manages recruits who have attended their 1:1 appointment and are actively taking classes, combining automated follow-up with leader engagement to monitor progress, maintain communication, and track optional commitment requirements.

πŸšͺ How a Recruit Enters This Stage

  • Automatic Movement:
    • After the leader marks the recruit as Showed for their 1:1 appointment during the attendance action.
  • Manual Movement (By Leader): Not applicable

βš™οΈ What Happens When a Recruit Enters

  • The leader must update three recruit card fields before completing the attendance action:
    1. Activate In School Drip? (Taking Classes) – Required
      • Must be set to Yes for the recruit to enter the six-month drip.
      • The drip includes:
        • 19 emails
        • 7 text messages
        • 6 leader check-ins
      • If not indicated before moving the recruit:
        • Leader has 30 minutes to update the field.
        • If not updated, the system sends a notification to prompt the leader.
        • Once updated, the recruit automatically enters the drip; no manual movement is required.
      • If the leader decides not to move forward with the recruit, they can exit the pipeline instead, selecting the appropriate Exit Pipeline action.
    2. Signed Commitment Letter – Optional
      • Use only if the Market Center requires In School recruits to sign a commitment letter.
      • This tracks completion and reflects on the dashboard.
    3. Exam Date Check-In Cadence – Required for next stage automation
      • Options: Weekly, Bi-weekly, or Monthly
      • Located under the In School Pipeline section of the recruit card.
      • This setting determines the cadence for check-ins in the In School (Awaiting Exam Date) stage.
      • If not set before moving the recruit, it defaults to Weekly, which can be updated later after the recruit has entered the next stage.

πŸ”” Automations Overview

  • Duration: 6 months
  • Emails: 19
  • Text Messages: 7
  • Leader Actions: 6 check-ins
  • Notifications: Sent if the Activate In School Drip option is not updated within 30 minutes of moving the recruit.

πŸ§β€β™€οΈ Leader Action Steps

  • Task:
    • Ensure Activate In School Drip is marked Yes.
    • Optionally track Signed Commitment Letter.
    • Set Exam Date Check-In cadence before moving the recruit.
    • Perform scheduled check-ins with the recruit.
  • Timing: Complete drip updates within 30 minutes if not done initially; follow six-month check-in schedule.
  • Next Step: Monitor recruit progress and prepare for exit to In School (Awaiting Exam Date) or Holding Stage.

πŸ”§ Recruit Card Updates

  • Activate In School Drip? (Taking Classes) – Required; must be set to Yes to trigger the six-month drip.
  • Signed Commitment Letter – Optional; track if your Market Center requires it.
  • Exam Date Check-In Cadence – Required for next stage; select Weekly, Bi-weekly, or Monthly under the In School Pipeline section. Defaults to Weekly if not set before movement.

πŸšͺ How a Recruit Leaves This Stage

  • Automatic Exit:
    • If the six-month drip completes without action β†’ moved to Holding Stage for leader follow-up.
  • Manual Exit (By Leader):
    • Once the recruit completes classes β†’ move to In School (Awaiting Exam Date).
    • If the recruit is not moving forward β†’ remove from pipeline using Exit Pipeline action.

⏭️ Recommended Next Steps
Leaders should ensure proper drip activation, track commitment letters if applicable, set the exam check-in cadence, and maintain consistent check-ins throughout the recruit’s schooling.

✨ Closing Note / Why This Stage Format Works
This stage combines structured automation with leader accountability, keeping In School recruits engaged, monitored, and on track while allowing for flexibility based on recruitment outcomes and upcoming exam scheduling.
