When a user is removed and replace (or a user role is changed from one person to another) from your Market Center Sites system, all new recruits will automatically be assigned to the new user moving forward. However, existing recruit cards previously assigned to the old user must be updated manually.
This guide walks you through updating ownership on individual opportunity cards to ensure:
- Follow-up tasks, emails, and text messages are sent by the correct user.
- Automations and calendar links remain accurate.
Steps to Update Opportunity Card Assignments #
1. Log into the System #
- Go to your dashboard and navigate to the Opportunities pipeline where the user role assignment was updated.
2. Identify Cards Assigned to the Old User #
- Look for cards with initials in the upper right indicating who owns the recruit.
- If the card shows as “Unassigned” (without initials) it may be because the user was removed from the system.
3. Open the Opportunity Card #
- Click on the card itself (not the recruit’s name).
- Scroll down to the Owner section.
4. Reassign to the New User #
- Select the drop-down under Owner.
- Choose the new user who should now manage this recruit.
- This ensures all communication, automations, and calendar links update correctly.
5. Repeat for All Impacted Pipelines #
- Update every card previously assigned to the old user across all relevant pipelines, including:
- R0 Not In School (NS) Recruits
- R0 In School (IS) Recruits
- KSCORE Recruits
- R1/R2 Licensed Agent (EX) Recruits
- You may need to update the calendar connection as well.
