In the video below, we demonstrate how to filter contacts by a specific tag using In-School recruits you want to call and check in with as the example. This method is faster and more efficient than reviewing opportunities one by one.
1️⃣ Open the Contacts Section #
Start by navigating to your full contact database.
- Log into your account.
- In the left navigation, click Contacts.
- This opens your full list of contacts, ready to be filtered.
2️⃣ Filter Contacts by Tag #
You’ll now apply filters to narrow your list to exactly the group you want to reach.
- Click More Filters in the upper right corner of the screen.
- From the filter options, choose Tag.
- Select the tag you want to filter by — for example:
- In-School
- (Optional) If you want to filter by multiple tags, change the matching rule:
- Select “any of” rather than “is”
- Select multiple tags (e.g., “is” for In-School and “ex” for Licensed Agent)
- Click Apply.
- Your list will now show all contacts who match the selected tags.
Tip: Before closing the filter panel, you can save this view as a Smart List.
- Click Save as Smart List at the bottom.
- Name it something recognizable (e.g., In-School Recruits).
- It will now appear under Smart Lists for quick access.
3️⃣ Use Two Tabs for Faster Follow-Up #
Once filtered, you can streamline your outreach by working with Contacts and Opportunities side-by-side.
- Hover over Opportunities in the left navigation.
- Right-click (or two-finger-click on Mac) and choose Open in New Tab from the dropdown that appears.
- With both tabs open:
- Use the Contacts tab to make calls down the list of phone numbers.
- Use the Opportunities tab to:
- Find the recruit.
- Check recent communication by clicking the recruit’s name to enter the Contact Card.
- Update opportunity stages by moving recruit to the next most appropriate stage if applicable.
- If you need to message the contact after the call:
- Click their name inside the opportunity.
- This opens the Contact Card.
- Send a quick text or email to recap the call and add a personal touch.
- This creates a record of your communication with the recruit so you can reference it later if need be.
