🎯 Purpose of This Stage
This stage supports recruits who have completed Kaplan enrollment and are actively taking classes. It combines decision tree automation and leader engagement to monitor progress, encourage completion, and manage Kaplan extensions when necessary.
🚪 How a Recruit Enters This Stage
- Automatic Movement: None
- Manual Movement (By Leader):
- The KSCORE Admin manually moves the recruit into this stage after verifying Kaplan enrollment completion.
⚙️ What Happens When a Recruit Enters
- A decision tree automation checks:
- If the recruit is a brand new enrollee
- If the recruit has purchased a 30- or 90-day Kaplan extension
- If the recruit has re-enrolled in Kaplan:
- The recruit bypasses emails and texts
- The leader is prompted to connect monthly with the recruit for six months
- Brand new enrollees:
- Reassigned to the KSCORE Liaison
- Added to a 6-month automation with:
- 19 emails
- 7 text messages
- 6 leader phone calls to check in on progress and estimated completion
- Recruits have 6 months to finish classes or purchase a Kaplan extension.
- In the last month, emails and texts provide the Kaplan extension link and prompt recruits to notify the leader if an extension was purchased.
- If no extension is purchased → recruit is automatically moved to Kaplan Expired.
- If an extension is purchased → leader must update the recruit card (see Recruit Card Updates) and continue engagement.

- Task: Engage with recruits via phone calls per schedule, track progress, and manage extensions.
- Timing: Weekly, bi-weekly, or monthly, depending on status, as prompted by automation.
- Next Step: Move recruits to Kaplan Expired if not completed after extension period, or maintain engagement if still active.
🔧 Recruit Card Updates
- Purchased Kaplan Extension (Kaplan Pipeline section):
- Toggle to 30 or 90-day extension if purchased, then click Update
- No recruit movement is required
- The system uses this to adjust leader notifications and follow-up cadence
🚪 How a Recruit Leaves This Stage
- Automatic Exit:
- If no extension purchased and 6 months elapsed → move to Kaplan Expired
- If extension period ends → move to Kaplan Expired
- Manual Exit (By Leader):
- When the recruit conveys they’ve completed Kaplan → move to In School Pipeline using the Exit Pipeline process
⏭️ Recommended Next Steps
Leaders should maintain regular check-ins, ensure extension fields are updated as needed, and monitor recruit progress to prevent expiration without engagement.
