🧠What is the Appointment Scheduled stage? #
The Appointment Scheduled stage in the R1/R2 Recruiting Pipeline represents a key milestone—an appointment has been scheduled with a recruit. This stage serves as a checkpoint to confirm whether the meeting actually takes place and ensures the recruiting process progresses appropriately based on that outcome.
âś… How does a recruit enter the Appointment Scheduled stage? #
Recruits are moved into this stage automatically when the leader submits the form linked in the email from the Recruit Leads (Pre-Appointment) stage.
Entry Triggers:
- Submission of the Appointment Scheduled Form via the unique link sent in the weekly follow-up email.
- The form captures the date the appointment was scheduled (not the appointment date itself), along with any relevant notes.
🚀 What happens when a recruit enters this stage? #
Once in this stage, the system begins monitoring for appointment follow-up:
- The assigned Market Center Leader receives weekly email notifications prompting them to confirm whether the scheduled appointment was actually held.
- Each email contains a unique link to a form where the leader can indicate the appointment status.
Form Details:
- If the appointment was not held, the leader selects that option, and upon submission, the system automatically moves the recruit back to the Recruit Leads (Pre-Appointment) stage.
- If the appointment was held, the leader:
- Enters the date the appointment was held
- Adds any notes or key takeaways
- Submits the form, which automatically moves the recruit to the Nurture Lead (Post-Appointment) stage
- Enters the date the appointment was held
⚠️ Important: Leaders should not manually move recruits between stages at this point. The system handles all transitions based on the submitted form.
🔄 How does a recruit leave this stage? #
Recruits leave the Appointment Scheduled stage based on how the leader responds to the follow-up form:
- If the appointment was held: The recruit is moved forward to the Nurture Lead (Post-Appointment) stage.
- If the appointment was not held: The recruit is moved backward to the Recruit Leads (Pre-Appointment) stage.
- Transitions are automatic and triggered by form submission—manual movement is discouraged.
đź’ˇ Pro Tip: #
Timely form submissions keep your pipeline clean and accurate. Submitting the form—even if the appointment didn’t happen—helps the system keep everyone on track and ensures no lead falls through the cracks.
