Setting up automation for opportunity creation ensures that recruits are automatically entered into your pipeline based on their stage. Here’s how to turn it on and what you need to know.
Step 1: Navigate to Automation #
- Log in to your platform and start on the Dashboard.
- From the left-hand navigation, select Automation.
- Choose Opportunities.
Step 2: Activate the Automations You Want #
- Find the opportunity workflow you want to enable. (For example, EX = Licensed Agent, IS = In School, NS = Not in School.)
- Click on the workflow.
- In the upper right corner, toggle from Draft to Publish.
- The toggle will turn blue when it’s active.
- Click Save.
Once saved, your automation is on. On the workflow list page, the status will now show as Active (green).
Step 3: Understand the Trigger #
- The trigger for automation is a form submission (the Join KW form on your Profit Share Site).
- When a recruit submits the form and selects their licensing status (e.g., Licensed Agent), the automation will create an opportunity.
- Important: Automation is not retrospective.
- Recruits who filled out the form before you turned on automation will not have opportunities created automatically.
- You’ll need to create those manually.
Step 4: Manually Create an Opportunity (When Needed) #
- Go to Contacts.
- Find the recruit, click the three dots menu, and select Create Opportunity.
- Choose the pipeline and stage where they belong.
- Click Create.
Step 5: Decide Who to Add to Opportunities #
- Licensed Agents (EX): Always recommended.
- In School (IS): Optional, but many prefer to add them after reaching out and gauging progress.
- Not in School (NS): Not recommended to include in opportunities.
By turning on automation, you can streamline opportunity creation and save time while ensuring your licensed and in-process recruits are properly tracked in the pipeline.
