The KSCORE Pipeline tracks a recruit’s journey from initial KWPrep registration to exam scheduling (or discontinuation). Each stage has specific actions and automated processes to ensure recruits move forward efficiently. Below is an overview of each stage in order, along with what happens and the actions needed to advance recruits.
Register for KWPrep #
This stage is the entry point into the KSCORE process. When a recruit reaches this stage, the Systemtizer is notified to add them to KWPrep. Once the recruit is added, the Systemtizer selects the Blueprint follow-up cadence—Weekly, Bi-Weekly, or Monthly—and moves them to the next stage.
- Add the recruit to KWPrep.
- Choose and set Blueprint cadence.
- Move recruit to “Enrolled in KWPrep.”

Enrolled in KWPrep #
This stage confirms the recruit’s KWPrep enrollment. The Snuggler is notified to send a personal welcome, while automated emails provide login details and Blueprint reminders based on the chosen cadence. The recruit remains here until they complete the Blueprint and are manually moved forward.
- Confirm enrollment and welcome the recruit.
- Ensure automated login info and reminders are sent.
- Automatically move to “Blueprint Completed” when form is submitted.

Blueprint Completed #
This stage is triggered automatically once the recruit submits their Blueprint form. The Snuggler reviews the responses and prepares for a follow-up conversation before moving the recruit to schedule their Blueprint Review appointment.
- Review Blueprint form responses.
- Prepare notes for the follow-up call.
- Move to “Schedule Blueprint Review.”

Schedule Blueprint Review #
Recruits in this stage are ready to book their Blueprint Review. Automated messages with calendar links are sent to them. They exit the stage once they schedule via the Blueprint Review Calendar.
- Send calendar link for booking (auto-sent).
- Monitor until appointment is booked.
- Recruit moves automatically to “Appointment Set.”

Appointment Set #
This stage is triggered automatically when the recruit books their Blueprint Review. They receive reminder emails and texts leading up to the meeting. The recruit leaves this stage when they either attend (and are marked as such) or cancel/no-show.
- Allow reminders to run automatically.
- Mark attendance after appointment.
- Move to the correct next stage.

Appointment Cancelled/No Show #
This stage holds recruits who cancel or miss their appointment. Automated follow-up (email, text, and calls) from the Snuggler encourages rescheduling. If no action is taken within 60 days, they may be removed or marked as discontinued.
- Follow up with the recruit.
- Encourage immediate rescheduling.
- Move when booked or after 60 days of no activity.

Appointment Held #
This stage confirms the recruit attended their Blueprint Review. The leader or Snuggler should quickly update their status based on appointment outcomes to avoid delays in progress.

Waiting to Sign Up For Kaplan #
When a recruit is ready for Kaplan enrollment, the Systemtizer is notified to add them. They leave this stage once added to Kaplan.
- Notify Systemtizer for enrollment.
- Move to “Added to Kaplan.”

Added to Kaplan #
This stage confirms the recruit’s addition to Kaplan. Automated notifications are sent to guide them through enrollment steps. The Systemtizer monitors and moves them forward once enrollment is confirmed.
- Verify Kaplan account creation.
- Move to “Enrolled in Kaplan.”
- Make sure to update the contact card with the Kaplan Expiration Date.

Enrolled in Kaplan #
At this stage, the recruit begins their 15-week Kaplan program. Automated messages congratulate them and keep them engaged, while the Snuggler checks in to encourage completion.
- Maintain regular follow-up during coursework.
- Move to “Awaiting Exam Date” when done.

Awaiting Exam Date #
This stage tracks recruits who have finished Kaplan but haven’t yet scheduled their exam. Weekly check-ins ensure they stay on track until an exam date is confirmed.
- Encourage scheduling the exam.
- Move to “Exam Scheduled” once set.

Kaplan Expired #
If a recruit’s Kaplan access expires, they enter this stage. The goal is to re-engage them with renewal options or confirm if they’re exiting the process.
- Attempt renewal outreach.
- If no action after 30 days, remove from pipeline.

Exam Scheduled #
This stage means the recruit has booked their exam. The exam date should be documented on their record before they are transferred to the In-School Pipeline for continued tracking.
- Add exam date to record.
- Move to IS Pipeline.

Discontinued Process #
This stage is for recruits who are no longer pursuing real estate or wish to stop communication. They are removed from the pipeline after 30 days and no further follow-up occurs.
