Market Center Training Part 3: R0 Not In School Pipeline

The Not in School (NS) Pipeline is designed to guide recruits from their initial interest through to enrollment in real estate school—or to exit the process if they decide not to move forward. Below is a chronological overview of each stage, what happens within it, and the actions needed to move recruits to the next stage.


1. Agent Referral Stage #

What happens here:
Recruits enter this stage when they are referred by agents or leaders through a referral form. The system sends a notification to the appropriate leader, but no automated emails or campaigns start at this point.

How to move them forward:

  • Manually follow up to gauge interest.
  • If they register for an Info Session, they automatically move to the Registered for Info Session stage.
  • Leaders can also move them manually to NS Nurture if the recruit is not ready to register yet.

2. NS Nurture Stage #

What happens here:
Recruits in this stage have expressed interest in real estate but are not yet enrolled in school. They typically land here after selecting “Looking for Real Estate School” on the Join KW form. This triggers a six-month email campaign to keep them engaged.

How to move them forward:

  • Encourage them to register for an Info Session (which moves them to Registered for Info Session).
  • Follow up manually if the six-month nurture campaign ends without action.

3. Registered for Info Session Stage #

What happens here:
Recruits enter this stage when they register for an Info Session using the integrated calendar. They automatically receive confirmation and reminder emails/texts. Leaders must record whether they attend.

How to move them forward:

  • Mark attendance after the session.
  • If attended → move to Attended Info Session (Last 60 Days).
  • If canceled/no-show → move to No Show/Cancelled Info Session.

4. No Show/Cancelled Info Session Stage #

What happens here:
Tracks recruits who missed or canceled their scheduled Info Session. The system triggers a 60-day re-engagement campaign with emails, texts, and follow-up tasks.

How to move them forward:

  • Get them registered for another Info Session.
  • If no action is taken within 60 days, they automatically move to a long-term drip campaign.

5. Attended Info Session (Last 60 Days) Stage #

What happens here:
For recruits who attended an Info Session, the system begins a 60-day follow-up sequence with automated messages and leader-assigned calls.

How to move them forward:

  • Maintain timely follow-up to encourage school enrollment.
  • If they sign up for real estate school → move to Signed Up for School.
  • If they choose KSCORE → move to Moved to KSCORE.
  • If they opt out → move to Discontinued Process.

6. Signed Up for School Stage #

What happens here:
Recruits here have committed to enrolling in real estate school (non-KSCORE). This is a key conversion milestone.

How to move them forward:

  • Track progress toward completion.
  • Once enrolled, they are typically moved to an In School pipeline for further tracking.

7. Moved to KSCORE Stage #

What happens here:
Reserved for recruits choosing the KSCORE scholarship program. Leaders move them here manually, which transfers them to the KSCORE pipeline for KW Prep registration and removes them from the NS pipeline.

How to move them forward:

  • All next steps occur within the KSCORE system.
  • Continue to monitor progress in KSCORE until licensing is complete.

8. Discontinued Process Stage #

What happens here:
For recruits who’ve decided not to pursue licensing. Leaders place them here manually based on confirmed disinterest.

How to move them forward:

  • No action is typically required.
  • If the recruit re-engages within 30 days, move them to the appropriate earlier stage. Otherwise, the system automatically removes them after 30 days.
