The Registered for Info Session stage is used for recruits who have taken the key step of signing up for an upcoming Info Session (also referred to as a One to Many Appointment). This stage helps track whoβs registered and ensures timely communication leading up to the event.
β How does a recruit enter the Registered for Info Session stage? #
Recruits enter this stage automatically when they register for an Info Session using the Info Session Calendar integrated into your recruiting system.
Once they register, the system handles the following:
- Sends a confirmation email with details about the session
- Sends reminder emails leading up to the event
- If the recruit opts in, theyβll also receive text reminders
No manual entry is required to move someone into this stage β the calendar does it for you.
π What happens when a recruit is in this stage? #
While in the Registered for Info Session stage:
- The recruit is queued to attend the scheduled Info Session.
- They receive automated email and optional text reminders to increase attendance likelihood.
- The system expects a manual update from the leader hosting the session after the event to confirm attendance.
This stage plays a key role in bridging interest to engagement β so timely communication and attendance tracking are essential.
π How does a recruit leave this stage? #
A recruit leaves the Registered for Info Session stage in one of three ways:
- They cancel their registration:
- This can be done via the cancellation link in their email reminders.
- They are automatically moved to the No Showed/Cancelled Info Session stage.
- This can be done via the cancellation link in their email reminders.
- They attend the Info Session:
- Attendance is tracked manually by the leader running the event via the Info Session Calendar system.
- Once marked as attended, the recruit is moved to the Attended Info Session stage, triggering the next phase of the recruiting journey.
- Attendance is tracked manually by the leader running the event via the Info Session Calendar system.
- They do not show up:
- If a recruit is marked as a No Show, they are also moved to the No Showed/Cancelled Info Session stage.
- If a recruit is marked as a No Show, they are also moved to the No Showed/Cancelled Info Session stage.

Taking attendance is a manual step and must be completed by the session leader to ensure recruits continue through the pipeline correctly.

After each Info Session, block 5β10 minutes to record attendance right away. Accurate tracking ensures the right follow-up automations are triggered β whether someone shows up, cancels, or no-shows.
