Appointment Smart Views allow you to easily filter and organize those who booked appointments with you.
During some stage in your opportunity pipelines, recruits will be prompted to book an appointment with you, be it a 1-on-1 or a 1-to-many. After that appointment, you’ll need to log into the system and mark them as having kept their appointment, or as missed or cancelled. Doing this moves the recruit to the appropriate next stage.
As Smart Views are user-specific, you’ll need to set up your own. We recommend setting individual calendar-specific ones up for any pipelines you are responsible for within the system.
To set up Appointment Smart Views:
Step 1: Log In
Log into the system. You’ll land on the dashboard.
Step 2: Navigate to Calendars
In the left-hand navigation menu, click Calendars.
Step 3: Switch to Appointment List View
Along the top of the Calendars section, select Appointment List View.
Step 4: Create a New Smart List
Click the ➕ Smart List button. This will open a dialog box on the right-hand side.
Step 5: Name Your Smart List
Give your list a clear name—ideally one that reflects the pipeline or calendar type (e.g., “Career Night – Virtual”).
Step 6: Set Filters – Calendar
Click into the Filters section. Choose Calendar, then select the specific calendar you want to use. Tip: You can select multiple calendars (e.g., Virtual and In-Person Career Nights), but we recommend starting with one for simplicity.
Step 7: Set Filters – Status
While still in the Filters section, Add an additional filter. Choose Status and set it to Confirmed. This ensures your SmartView only shows appointments that are confirmed but not yet marked as showed or canceled.
Step 8: Apply & Save
Click Apply to activate the filters, then Save your new Smart List.
